Firstleaf is a subscription wine company that operates on a Direct-To-Consumer (DTC) model and curates personalized wine selections for its customers, delivering bottles straight to their door on a recurring basis. With over 60,000 active members, hundreds of SKUs, and dozens of new wines introduced each month, their supply chain is complex. Balancing inventory across multiple warehouses requires precise, real-time coordination.
Before working with Kaizntree, Firstleaf's logistics schedule relied on a manual, error-prone process. After two team members responsible for this task transitioned into another department, it fell onto the company’s Director of Operations.
The Challenge
Tracking Inventory Movements and Delivery Schedules
Before adopting Kaizntree’s AI Operations Assistant (JP), Firstleaf faced persistent bottlenecks in its logistics and fulfillment processes. NetSuite, their ERP system, worked well for accounting but was inefficient as an operations tool. Every day, schedules and inventory movements had to be pulled from Google Sheets and manually entered into NetSuite across three separate steps: 1) creating transfer orders, 2) fulfilling the orders once the wine is shipped, and 3) receiving the orders when the product arrived. Landed costs also had to be added line by line, leaving plenty of room for human error.

The process was tedious and error-prone. It would take 10 to 15 hours of work each month just to keep things updated. These updates were usually batched at the end of the month instead of in real time, which meant that inventory visibility stayed behind actual movements, making reporting and planning more difficult. Leadership time was being consumed by manual data entry rather than strategy.

AI That Goes From Google Sheets to NetSuite
Instead of migrating systems or hiring a developer to build an expensive in-house solution, Firstleaf deployed JP within a matter of days.

JP now integrates directly into their existing workflow. As soon as a shipment is ready, Firstleaf's Director of Operations checks a box on a Google Sheet which triggers JP to handle the rest. The AI creates the transfer order, fulfills it when the truck leaves, receives it into NetSuite when it arrives, and applies landed costs, exactly as a team member would, only faster and without mistakes.
